Bitdefender is ending its free antivirus

Keeping your computer protected against the latest threats and viruses can be difficult especially as we now spend even more time online but with the right antivirus software, you can browse the web safely and securely.

While Bitdefender has a number of paid antivirus solutions to help users protect their PCs, the company also offers a free product called Bitdefender Antivirus Free Edition. However, in an email sent to its customers seen by TechRadar Pro, the company has revealed that it will soon end support for its free antivirus.

In the email, Bitdefender explained that immense changes in the security industry have upended many of its plans for product development and unfortunately, Bitdefender Antivirus Free Edition is a casualty of these changes.

Beginning on January 1 of 2022, Bitdefender Antivirus Free Edition will officially be discontinued and will no longer be available for use.

Time for an upgrade

Although Bitdefender is discontinuing its free antivirus, the company says that it will continue to offer tech support for the product until June 30 of next year. This will give its customers more than enough time to install an alternative antivirus solution to keep their devices protected.

For those that want to continue using Bitdefender's silent “set-in-and-forget-it” style of antivirus protection, the company is running a promotion where it will upgrade the subscriptions of its free users to Bitdefender Total Security

Normally a one year subscription to the software costs £69.99 but Bitdefender will provide Free Edition users with a 5 device / 1 year subscription for just £8.98. However, this offer is only available to Free Edition users and will expire on December 31 of this year, so if you want to keep using Bitdefender to protect your PC, now is the time to claim it.

Alternatively, Microsoft Defender is another free antivirus software solution that comes built-in with every Windows PC though it doesn't include nearly as many features as Bitdefender Total Security like a VPN and mobile apps for Android and iOS.

Google Docs is finally solving this major editing pain

Google is currently working on a new update for its office software that will make customizing tables in Google Docs more intuitive and easier to do.

While Google Workspace includes its own spreadsheet software in Sheets, many people prefer to use Docs to add inline tables to their documents.

According to a new post in the Google Workspace blog, the search giant is adding several new ways to customize tables in Google Docs to give users more ways to present information to their readers.

This new update is rolling out now and will be available to all Google Workspace customers as well as G Suite Basic and Business customers and even those with personal Google Accounts.

Customizing and editing tables in Docs

First off, Google is adding a new sidebar to Docs to make it easier for users to manage a table's rows, columns, alignment and other properties. Just like when editing an image in Docs, all of these edits are “reflected in your document in real time”.

At the same time, the company is adding a new, intuitive button for creating new rows or columns in a table that will appear as an overlay as you hover over a table in Docs.

When it comes to pages, Google Docs users can now pin a table header row to repeat on each page to make it easier to see column headers for long tables while navigating a document as well as designate that a row should not be split across pages.

Finally, Google is making it possible to sort the rows of a table in either an ascending or descending order. However, any pinned table headers will still remain at the top of your tables.

Now that Google is making it easier to use tables in Docs, we'll likely see more users incorporating them into their documents to present information as opposed to linking to a separate spreadsheet in Sheets.

Instagram is introducing an incredible new way to get nostalgic

As we approach a new year, it is only natural that we start to think back to what the previous one has been like. If you're the sort of person who lies to feel the wave of nostalgia that Facebook's Memories feature can bring each day, you're going to love the new feature that Instagram is introducing.

Building on the idea of the Stories archive that was introduced a few years back, Instagram is adding a new, time-limited way to share your 2021 highlights with your friends.

The new feature is called Playback, which gives you a way to create a customized journey through your year by selecting your favorite moments from your Stories archive. It is a more personal option than many of the “look back over the previous” year features that the likes of Facebook create as you are placed in control of what is included.

While there is a lot to be said for automated “year in review” posts, what is algorithmically selected for inclusion may not match what you would have chosen yourself. And this is why Instagram's approach is so great.

Get reflective on Instagram

The new feature lets you select up to ten Stories from your archive, and if you would like to post an upbeat Playback, you can select all of the positive Stories you have posted across the year.

Equally, you might be feeling more melancholy, in which case you can opt for the slightly sadder posts. Or, of course, you can mix it up to give a fair representation of the ups and downs that 2021 has probably involved for you.

The Playback feature launches today and will be available for “A few weeks”. You will see a message pop up within the app inviting you to create your Playback. You can then nostalgically shift through your Stories and select the ones that you think best sums up the year.

Instagram also says that if you see a 2021 Story posted by somebody else, you just need to click on the 2021 sticker contained within that Story in order to create your own Playback.

So take a browse through your Stories archive and share your 2021 highlights with your friends and family.

The 7 Functions of Marketing

Marketing is a culmination of effective messaging, well-planned financing and budgeting, targeted selling, and strategic distribution. A marketing team is often made up of a variety of professionals who, together, can effectively carry out a well thought out marketing strategy.

Even the best of marketers struggle to manage all of these tasks for an organization, which is why it is important to have an effective tool to assist in the planning and management of the various tasks. From PR and information management, to financing and distribution – these seven functions of marketing are essential in today’s business world.

PR & Information Management

PR-as-a-Service

PR, which stands for public relations, is the ability to communicate with the public through the use of media in a controlled, flattering manner to your organization, allowing you to build rapport with your consumer-base and the community. Public relations can help you form concepts and ideas around your organization. This field has adapted with social media heavily, utilizing the platforms to disseminate information, communicate directly with an organization’s audience, and control the conversation.

There are several layers of public relations and information management including:

Crisis management – an established strategy for communication policies and procedures put into place for if an emergency should take place

Relationship management – procedures put into place to manage key relationships, and maintaining those relationships

Reputation management – a standard put in place to ensure the organization maintains its ethical behavior and social responsibility to its audience.

Marketing and Competitor research

Without marketing and competitor research, it might seem like your marketing department is just guessing at what your audience wants and who your audience is. Marketing research can help you identify where you need to be putting your messages, what those messages need to be focused around, and how to best address the direction your competitors are going.

There are several different types of market research to consider when planning how to best use your resources. Primary research involves communicating directly with your target audience to gauge how your organization is doing from their perspective, and analyzing that data internally.

Secondary research involves following the data from a second party – a competitor or otherwise, and analyzing their data. This form of research is valuable to organizations that cannot afford to conduct their own primary research.

There is also quantitative research, which focuses on the numbers produced by a campaign or promotion, and qualitative research, which focuses on the overall quality of the responses provided to a select group.

Promotion

When you think of marketing, chances are your mind will go to promotions first. As consumers this is what we most associate with marketing. Promotions can come in a variety of forms – advertisements, public relations, email marketing, mailers… etc. Most promotions are a culmination of all of these forms put together to create a marketing campaign. For a list of different platforms that help to manage these different activities, check out this article by TechRadar.

Marketers use promotions in one of two ways: above the line or below the line. In an article by avada.io, they break it down as:

Above the line: activities aimed at promoting and building a brand image with a sustainable and long-term purpose through mass media such as TV, Radio, Print & Outdoor Ads. These activities are usually undertaken by the Brand team.

Below the line: activities aimed at developing the distribution market, promoting retail, consumption for short-term purposes, and creating direct effects, such as sample delivery, direct marketing, organization events, promotions for consumers, promotions for agents and retailers.

Selling

Selling can take place in a variety of different ways depending on the target market. Once you’ve done your research to establish your target market, created your promotions to support your selling process, you can then plan your approach. Most marketers will present the prospect with a promotional gift, free trial, or other enticement to engage them.

Now that the prospect is in a place to learn more, the salesperson will have the opportunity to present their solution. Through our research process, a well-established salesperson will have determined the client’s need for their product or service. During the presentation stage is when that need is addressed, allowing for the product or service to act as the solution to the problem.

Lastly, the salesperson will have to address any questions, conflicts or objections that follow the presentation in order to close the deal. Having established a well-founded knowledgebase through research will best prepare you for this stage of selling.

Distribution

LeafLogix

Distribution management software (Image credit: LeafLogix)

Your distribution channel is the series of businesses your product or service needs to go through to reach your consumer. Distribution is dependent upon the budget of your organization and the method you aim to use. Some items to consider before landing on your distribution method include:

1. The product or service you are selling and what its demands are. What does the market say? This is where your research will come in handy to tell you whether or not social media is the right place for your service, or a boutique retailer, or other outlet.

2. The cost of and benefits of each method.

3. Whether or not the option you’re choosing leaves room for growth.

Whichever route you decide to take with distribution, do your research. Compare prices and offering, and make sure it is the right choice for your business. There are pros and cons to most options, and you don’t want to get stuck in a contract that isn’t mutually beneficial.

Product and Customer Service Management

The project manager or ‘PM’ is the individual responsible for the overall success of a scope of work. She makes sure the project is on target with the customer’s and company’s overall goals. The amount of drive and ambition relayed by the project manager feeds into the success of the project.

As the economy becomes more project-focused, the need for highly functional project managers becomes more imperative. In an article by PMI it's stated that  “Demand over the next 10 years for project managers is growing faster than demand for workers in other occupations. … Through 2027, the project management-oriented labor force in seven project-oriented sectors is expected to grow by 33 percent, or nearly 22 million new jobs.”

Financing

Many new businesses need some source of secure financing to build a sustainable workflow. Marketing is the support system that keeps businesses moving forward. In an article by avada.io it states ‘finance and marketing have a very close relationship with each other.

If one of the two fails to stand up, the other will also collapse. Without marketing, it would be difficult for a company to sell products and bring value to customers, and not have a stable and growing finance.’

Whether it is a customer rewards program, an appealing email campaign that drives sales, or effective customer relations, marketing is the bridge between the financial growth of the business and its customers. The marketer also helps establish how the market is responding to the cost of service by the business and can help to determine whether or not their financial model is sustainable.

Conclusion

Marketing has expanded rapidly over the years to include a multitude of facets including public relations, social media, market research and even advertising. The truly effective marketer can’t do it alone.

She needs a strong team of support and an effective tool to assist in the planning and management of the various tasks. As marketers continue to evolve towards the project manager mentality, being able to successfully plan and oversee the extent of assignments that comes with the job is imperative to the success of the organization.

Turns out a lot of us are really bad at behaving on Zoom calls

After another bumper year for video calls across the world, Zoom has released a series of somewhat surprising facts about some of the oddest facts it has gathered about users in 2021.

The video conferencing platform carried out a global survey and combined the results with its own internal insights to show how we really used Zoom – with some particularly odd findings.

This includes over half (53%) of Zoom users saying it was OK to eat during meetings, 42% saying they have made a call from their beds, and over a quarter (26%) saying they almost never showered before going on a call.

Zoom in 2021

Covering the period of November 15 2020 to November 15 2021, the company's survey discovered that Wednesday was the most popular day of the week for Zoom calls, followed by Tuesday and Thursday.

The average length of a Zoom call was a whopping 54 minutes, with the average meeting size found to be 10 participants.

Zoom, which was used in nearly 200 countries and territories around the world, also found that January 21 2021 was the busiest day of the year for virtual meetings, with February 25 the most popular day for webinars.

Elsewhere, nearly three-quarters (71%) of Zoom users have had to say the phrase “you're on mute” at some point in the last 12 months, with 57% needing to ask if everyone on a call could see their screen.

75% of users said they waved goodbye at the end of their meetings, with outdoor landscapes (26%) proving slightly more popular than blurred backgrounds (25%) or company logos (20%).

Just under half (43%) confessed to only cleaning the part of the room visible on camera, with the same number (43%) of parents having a child show up during a meeting, and 36% saying they have had a pet show up during a meeting.

Windows 11 is getting one of Windows 10’s most divisive features

Windows 11 has a new preview build which reintroduces the weather widget to the taskbar, plus it adds new voice features on the accessibility front.

Windows 10 users are familiar with the ‘News and interests’ widget, which shows the local weather (and temperature) on the taskbar, and by default when hovered over, highlights a full weather report, breaking news, sports and other miscellany which can be customized (or you can turn it off).

This was ditched from the taskbar with Windows 11, but now with the latest preview build 22518, Microsoft has brought back a weather widget, which is billed as a new ‘entry point’ for widgets on the taskbar.

It sits on the far-left of the default taskbar, and displays the weather just as with ‘News and interests’, and when hovered over pops up the widgets board, complete with whatever widgets you’ve loaded up, plus the headline news panel underneath.

This replaces the old (default) scheme of things with Windows 11, whereby the widget board had a normal-sized icon grouped with the Start button in the middle of the taskbar. Shifting it to the left to sit on its own, and giving it a full weather display, makes it far more prominent as was the case with Windows 10.

Other changes brought in with build 22518 include voice access, a feature that allows for control of core elements of Windows 11 using just your voice. So you can give voice commands to open/close or switch apps, to search via your web browser, plus they can be used to interact with buttons or menus, or to control the mouse, or dictate text.

There’s a lot of functionality here, and Microsoft has provided a full list of voice controls you can peruse. Note that this is only available to testers with Windows display language set to English-US.

Finally, Microsoft has brought the Spotlight collection to the desktop, so those enticing pics you get on the Lock Screen can appear as your background, and these will be switched for other “beautiful new desktop pictures from around the world” every day.

Analysis: Unnecessary clutter returns… But voice features are great

The ‘News and interests’ widget proved pretty controversial on Windows 10, and not popular with some folks, so there will likely be a number of Windows 11 testers grimacing to see its effective return to the taskbar. While it’s tucked away on the left, it’s quite a large presence on the taskbar, and sometimes an annoying one when you accidentally brush the mouse over it, and the panel pops up briefly.

Of course, it’s still only in testing, and might not make the cut for release based on feedback – we shall have to see. And you can still hide the widgets icon if you prefer, so there are options to deal with it, as ever. (It reverts back to a small icon if you’re using a left-aligned taskbar, sitting next to the Task view icon, by the way, as it would obviously be way too jarring for it to displace the Start button in that layout).

While the weather widget may remain divisive, implementing a whole new level of voice control with Windows 11 is great to see. Many of the controls here, incidentally, appear to have been brought over from Nuance’s Dragon speech recognition package; if you recall, Microsoft bought Nuance back in April 2021. This looks like the start of Microsoft really ramping up voice controls with Windows 11.

You can now put yourself front and centre (or anywhere you want) in Microsoft Teams

You'll soon be able to be the star of all your work video calls thanks to a new update coming to Microsoft Teams.

The video conferencing software has revealed plans for a new tweak that will let users pin their own video feed wherever they like on their display when on a call.

Previously, users could only pin video feeds of other participants when on a call, letting you focus on a particular presenter, boss or co-worker.

Pin on Microsoft Teams

The change will also mean that users can have their own video feed at whatever size they desire – a change which could be particularly useful if you want to check your appearance or background while presenting or speaking – especially if using sign language.

Microsoft says the new feature will also mean no more overlaying of the user's video window over that of other participants, and hopefully mean users will feel like they are taking a much more active role in a call.

Microsoft Teams pin video feed

The feature is set to begin rolling out to Microsoft Teams Standard users on Windows and Mac devices from January 2022. It can be activated by going to the “Me” box and clicking on the three dots, then selecting “Pin for me”, with users also able to pin or unpin their feeds when clicking on the menu next to their name in the roster.

The release is the latest in a series of upgrades to Microsoft Teams as the company looks to maintain its strong position in the video conferencing market.

This includes the ability to now mute or even turn off notifications while on a Teams call, with users able to choose to mute notifications for all meetings or on a per meeting basis.

Microsoft 365 users are also currently able to work uninterrupted with Teams notifications silenced thanks to focus mode in Viva Insights. The tool means Teams users will be able to make progress on important work with focus music from Headspace playing in the background.

Instagram could finally be fixing its biggest annoyance

After five years, Instagram is looking at bringing back the chronological feed, instead of one that sorts images by your interests in random order.

Instagram head Adam Mosseri was talking to the American Senate committee about child abuse on social media, mainly due to the whistleblower papers that were leaked by Frances Haugen.

Since 2016, users have had to scroll through their feed on Instagram, which shows posts in an order that’s been calculated by an algorithm. This generates a feed based on the content you’ve been looking at, what you’ve been commenting on, and who you’ve been following.

It’s why you will occasionally see a ‘Suggested feed’ of photos and profiles you don’t follow. However, many just want a feed of who they’re following and nothing more.

When will it arrive?

Mosseri’s confirmation of the chronological feed returning will be of big relief to some users. Many are still annoyed by not having control over what they see when they launch Instagram, instead of being brought to a feed that will show photos and videos from a few days ago.

It’s a feature that’s been long-requested, so now that there’s confirmation, many users wanted to find out when it would be arriving. But it looks as though it won’t be anytime soon.

With no more news about the feature until early next year, we’ll have to make do with the algorithmic feed for now, as we have done for five years.

Analysis: Was there any need for it to go in the first place?

Instagram has been working on several features requested by its users. Recent examples have been the ability to post from a web browser or switching to a dark mode theme, which have been well-received.

However, not being able to control what you see on your feed has been frustrating for years, ever since it changed in 2016. Many users want to scroll through a feed from newest to oldest, and social media rivals like Twitter gives users the option for this, as does Facebook.

It can be argued that a chronological feed is more important for Instagram users, as photos and videos capture a moment in time. With the run-up to Christmas, you want to see the latest content from who you’re following, not a random photo from Halloween in your feed when you open the app.

It’s a welcome change of mind regardless, but there should have been an option for both in the beginning. However, let’s hope it appears sooner rather than later in 2022.

Everyone’s favorite Windows 11 tool is getting a dark mode

Microsoft is giving its iconic text editor a visual redesign for Windows 11 along with new features to help programmers and others who rely on Notepad in their day-to-day workflows be more productive.

According to a new blog post, the redesigned Notepad for Windows 11 is now rolling out to all Windows Insiders in the Dev Channel and the software giant is encouraging users to submit any suggestions on what can be improved further to its recently launched feedback portal.

Right off the bat, Notepad users will notice that the application now has a completely updated UI that aligns with Windows 11's new visual design including rounded corners, Mica and more. However, one of the most requested new features in Notepad is dark mode.

By default, Notepad will adapt to your system theme preferences in Windows 11 but you can change this option in the software's brand-new settings page which is also the new home for font options.

Find and replace and multi-level undo

The current version of Notepad which ships with Windows 11 houses the text search tool and the find and replace tool in two separate pop-up windows that can be accessed using two different keyboard shortcuts. Thankfully though with its new Notepad redesign, Microsoft is combining these two tools into one floating bar that is much more streamlined and should help improve users' productivity.

Another big change in the next version of Notepad will replace the software's old undo system that only allows users to go back once with multi-step undo. Just like with other modern applications, users will now be able to undo multiple actions which will give them a bit more flexibility when writing.

Despite all of these new features, Word Wrap is still turned off by default in Notepad but it can now be accessed more easily right from the View menu.

As Microsoft's redesigned Notepad app is currently being tested by Windows Insiders, it will likely roll out to other Windows 11 users in an update sometime next year.

What is brainstorming?

In the broadest sense, brainstorming is the collective consideration of ideas in order to arrive at a solution to a predefined problem. More strictly, it refers to a technique businesses can apply to come up with fresh, creative, and focused ideas. While being superficially similar to the concepts of problem-solving and mind mapping, brainstorming is most often a collective effort, and does not always have to target a specific issue.

It is a technique designed to stimulate creativity in the most spontaneous way possible, with the goal of generating a list of quality ideas and suggestions from the participants. Brainstorming usually takes place in a less formal setting, primarily to restrict inhibitions on speaking one’s mind and promote creative thinking without the fear of criticism.

In business, brainstorming is a well-established approach to creating ideas that serve as intellectual resources and commodities. Despite having the same outcomes, the applications of brainstorming vary across industries, with marketing brainstorming being different from the sessions more focused on the technical side of the business. For example, many brainstorming sessions concern coming up with ideas on how to win over a new customer base, introduce new technologies, streamline company operations, etc.

 Who should do brainstorming?

Brainstorming was developed as a technique by Alex F. Osborne in 1939 as a response to his team’s inability to come up with useful ideas. Osborne started working on developing group sessions in which individuals would present their opinions in an informal manner under the guidance of an executive – and this general format of brainstorming still persists today.

The range of stakeholders who can benefit from brainstorming is rather broad, as the technique is easily applied as a solution to problems that require collective action. Based on this, any organization or a group of individuals gathered around a central idea, such a business, can benefit from brainstorming. Yet, its also a valuable tool for political parties, schools and other educational institutions, research facilities, medical institutions, government authorities, etc.

Common to all of these use cases is the need to face a pre-defined issue that needs to be questioned and approached from different and innovative angles. This is often described as group brainstorming, but the technique is equally applicable to individuals as well. With individual brainstorming, one person defines an issue to be tackled and records ideas that come to their mind in the course of a single or several sessions. While being less commonly used than the group-based method, individual brainstorming has been proven to be even more effective in tackling complex issues

 Why you should do brainstorming

The benefits of both individual and group brainstorming are numerous. Apart from the focus on quantity of ideas over quality, brainstorming sessions are usually free from criticism, meaning that participants can present their ideas without the fear of being ridiculed.

Collaborative efforts such as brainstorming promote teamwork and a common approach to general business goals. Once they become an established practice, brainstorming sessions bring team-building to a new level, becoming a long-term solution to creative blocks, staff communication problems, and the lack of business innovations.

Brainstorming is usually the fastest way to gain access to numerous ideas which are then filtered and provided with feedback for further refinement. This serves to encourage consensus-building as a general practice for dealing with business issues that require inclusive solutions and arriving at informed collective decisions.

Also, brainstorming benefits from the interaction among multiple ideas as these sessions usually do not end with a single final conclusion. Instead, participants present diverse perspectives and, more importantly, combine them to produce a novel and out-of-the-box solution. Even when this happens, no participant can claim exclusive ownership of an idea, treating it instead as a product of a collective, team-based effort.

Pros and cons of brainstorming

While being almost universally applied today for its advantages, getting the best out of brainstorming sessions starts by being aware of its potential shortcomings as well.

Pros

Great new ideas and perspectives can be discovered. With brainstorming, it is easy to get a wholly new perspective and uncover “elephants in the room” with regard to a particular issue. These can easily become sources of solutions, new ideas or even constructive criticism coming from people guided by the same vision but who do not always get the chance to have their voices heard.

Brainstorming helps you define problems better. Brainstorming sessions often take place in a less formal environment in which no one feels pressured to come up with the best idea, as is the case with formal meetings.

Brainstorming is an informal pinnacle of creative teamwork. Brainstorming promotes a sense of camaraderie and working towards a common goal. It also helps relax the barriers that exist as part of a hierarchical organization. Once a solution is reached, everyone can feel satisfaction from participating in a collective effort that can be made part of standard organizational practice.

Cons

Brainstorming takes time to do properly. Brainstorming is not a fast solution to a particular problem. It needs to develop organically over time, which is why it often takes place over a sequence of sessions that can last for hours or days.

Brainstorming can bring underlying interpersonal conflicts to life. Brainstorming, by its very character, often features a “stormy” or fiery exchange of ideas and it can easily get out of control without the assistance of a facilitator.

It does not work in settings with a history of poor personal communication. To get the best out of every brainstorming session, one should ideally have a team of people who are taught to express their opinions and ideas freely. People with inadequate communication skills will find it hard to speak their minds, particularly if they work in an environment in which the free flow of ideas is not sufficiently promoted.

How to produce great Brainstorming

Since brainstorming sessions prosper in the relaxed ambiance of free-flowing exchange of ideas, they usually do not involve a strict set of rules. Unless a business has established its own best practice for handling brainstorming, there are some proven approaches to extracting the best value from this technique.

Firstly, gathering a team of professionals deemed as having the potential to offer a creative spin on an idea and organizing them in a group. The group is usually helmed by a facilitator, here in a less formal and hierarchical role compared with formal meetings. As the ideas are proposed and described in a freestyle manner, recording is usually done in an unobtrusive way so as not to disturb the exchange of ideas.

·        Provide feedback to the proposed ideas subsequently, or as part of a separate brainstorming session. A typical brainstorming session can be divided into two parts: a) presentation, collection and recording of ideas, and b) provision of feedback on the idea presented. The participants may usually be more willing to share their ideas in an informal setting in which they are not feeling as being judged. Looking for immediate feedback as ideas are exchanged can be a valid option, but some participants may be discouraged to get involved more actively if they see that their ideas get shot down repeatedly. This is why a balanced approach to brainstorming involves treating all ideas as valid to promote the atmosphere of an inclusive exchange of ideas.

·         Seemingly wild ideas should still be considered as a potential source of a creativity spark. This is similar to treating all ideas as being equally meritorious, yet with the focus on exploring more unorthodox ideas. Knowing that some great inventions have come out of supposedly “crazy” ideas means that it is usually worth keeping some of these on file, at least to spice up more conventional ideas. With brainstorming, ideas generate and complement one another, and making them come together naturally as a solution is one of the key tasks of brainstorming facilitators.

·         Facilitators need to gently direct the proceedings of a brainstorming session. While facilitators often work best when they maintain a sort of invisible presence, a brainstorming session still needs to revolve around a central idea. Due to the improvisational nature of these meetings, brainstorming can easily veer into the territory of informal conversations about irrelevant topics. Facilitators need to keep the team focused on the task at hand without being obtrusive.

Examples of Brainstorming Questions

Brainstorming sessions benefit from having a prepared set of carefully chosen questions that will elicit the most desirable responses from the participants. This is why they need to include a wide range of open-ended questions based on the following examples.

With so-called introspective questions, the participants are asked to focus on their emotional perceptions of the issue at hand.

·         How do you feel about this product?

·         Is it difficult to follow this video/text?

·         Do you find this aspect exciting or surprising?

With observational questions, one can ask the participants about what they perceive with their senses. These questions can be suitable for initiating a discussion or taking it in the desired direction.

·         What did you look at the most when you opened the page?

·         Is the music too grating in this video?

·         How can we improve the visuals for this product?

With retrospective questions, the facilitator asks for feedback on something that was done as part of previous sessions or is of relevance for the current brainstorming session.

·         What did we decide when we met last time?

·         What type of data do we need to proceed with the analysis?

·         How did we classify the features that we need?

Questions that promote unconventional thinking can also help with gaining creative energies out of the participants by declaring that no answer to these questions is wrong, no matter how wild. It also helps with avoiding routines and all too familiar communication patterns.

·         How would you feel if we started this again from scratch?

·         How about quitting this project?

·         What would our competitors do in this case?

Finally, actionable questions require the responders to propose activities based on the information they have.

·         What would be the first step to take?

·         Who should be done to kick off that activity?

·         What should be changed as a priority?

Real-life Examples of Brainstorming

A startup whose brainstorming team wants to look into ideas to expand to a new market. Facilitators describe the issue to all participants and inform them about the location of the session. Once gathered, the participants are given 10 minutes to think about strategies that could help the startup break into new markets.

At the same time, the facilitator prepares and hands out materials for recording brainstorming ideas, including sticky notes, papers, or sketches. Also, he/she informs the participants that they can present their ideas orally. Once the first round of brainstorming is done, the facilitator collects and records ideas and has each participant discuss the idea of the person next to them, describe its potential, outcomes, shortcomings, etc.

In the second example, a marketing team looks to convert more people to a paid version of the software instead of a trial one. This time, the idea is to put the idea presented during the brainstorm session to a vote. The preparation is similar as in the previous example, but at this initial stage, the number of participants is smaller and involves a group of specialists such as UX designers, programmers, copywriters, content creators, etc. They are invited to brainstorm with the help of games, such as word associations (“user experience”, “trial version”, “budget plan” etc.) or group work competitions.

How to use Brainstorming

Both individual and group brainstorming can be great problem-solving and idea development tools – but only if it is successfully applied after the session. To effectively do so, facilitators should include diverse member profiles in their teams in order to get as many perspectives as possible. This refers to the positions the individuals occupy in an organization as well as their gender or ethnic backgrounds.

Facilitators can even exploit inner tensions between groups and individuals that are known to hold opposing views. This can be done to prolong brainstorming sessions and have the participants raise more relevant questions with regard to a problem that needs to be resolved. Still, the time factor plays a more significant role the longer the brainstorming sessions take, so it is necessary to consider the costs and benefits of having the participants deliberate more on an issue.

In order to support the relaxed atmosphere and informal character of the sessions, the facilitators need to organize them in a comfortable space. Warm-up is particularly important if the level of comfort is to be raised from the outset. Once this is done, the facilitator needs to present a clear definition of the brainstorming goal.

An encouragement to build upon everyone’s ideas can be a helpful push in the right direction if the goal is to have everyone feel like a contributor to a group solution. A facilitator should be ready to jump in at any moment if they feel that the participants are running out of things to say. They also need to be ready to propose and carefully redirect the discussion back on track if it loses focus. Being provocative with the goal of extracting more creative ideas from the participants is sometimes tough to manage but it can contribute greatly to getting thought-provoking proposals.

Finally, keeping records of the most creative ideas means filtering out those of lesser quality. This can be done by facilitators themselves or as part of a group effort aimed at sorting out and analyzing the best ideas. If two or more ideas seem too good to be left out, an additional brainstorming session may be required or the facilitator may opt for A/B testing.

In any case, the selected brainstormed idea needs to be followed up by a concrete plan for its implementation and the selection of the adequate team to handle it.
