Google Docs can now help write your Gmail messages for you

Google has added a new feature to its word processing software, Docs, that it hopes will make collaborating on important business emails easier than ever.

The office software will now offer a new email template that allows users to draft messages in Google Docs but also see how they would be portrayed as a Gmail email before sending.

Typing @email in the web version of Google Docs will now launch the new template, complete with subject lines, sender and cc fields, and body text box.

Once launched, you can tag other Google Workspace users through their email addresses or user names, giving them the chance to review your work and collaborate on the message.

When finished, just click on the email button next to your draft message to see the text transformed into a Gmail compose window, where all the fields will be automatically populated based on your draft text.

The company said in its blog post that the feature has already begun rolling out to Google Docs web users, with the process due to be completed over the next few weeks.

The integration will be enabled by default, and is available to all Google Workspace customers, as well as legacy G Suite Basic and Business customers.

The company revealed its smart canvas initiative in 2021, helping tie together its range of workplace apps such as Gmail, Docs, Sheets and Slides.

Since then, it has also introduced automatically generated summaries in Google Docs, which provide a brief overview of the main points in a document. 

Google has also launched “smart chips“, where users can use @-mentions to tag for peoples, files and meetings, along with inserting additional items such as images, tables and templates.

This was expanded recently after the company launched additional smart chips or clickable objects that pull relevant information directly into the collaboration canvas. For instance, the new maps smart chip allows you to easily preview a Google Maps link directly in Docs.

Google Docs wants to help you spot when you’re being phished

Spotting potential security threats such as phishing scams on Google Workspace should soon be a lot easier thanks to a new update to the software suite.

Google has revealed it is releasing an upgrade to its online collaboration platform that will provide more information on who is tagging you in comments or questions.

This means that whenever you are mentioned in a comment on a Google Docs document, Sheets spreadsheet or Slides slideshow, it should be easier to spot that the notification is legitimate.

Previously, only the name of the commenter was included in email alerts sent to a user after they had been mentioned in a comment. Google says that in order to provide more security and insight, it will now also include the commenter's email address, showing they are a legitimate user.

“We hope that by providing this additional information, this will help you feel more confident that you’re receiving a legitimate notification rather than a spam or phishing attempt by a bad actor,” the company noted in a blog post announcing the news.

The feature is rolling out now, and is available to all Google Workspace customers, as well as legacy G Suite Basic and Business customers, and users with personal Google accounts.

The move is the latest addition from Google Workspace to improve security for its users. The company added end-to-end encryption to the platform back in June 2021 in what was a slightly late move, but one that added a significant protection boost for its entire software collection.

This launch also saw Google enabling businesses to set up their own in-house key service, enabling them to take charge of their encryption keys.

The company is also looking to draw in more new users with the launch of Workspace Migrate, which offers an easier way for admins to assess and plan migration projects to its platform.

This includes looking to move a large amount of enterprise data, such as that from Microsoft Exchange, Microsoft OneDrive, file shares, and Box migrations.

Microsoft Teams might even help you find a new job now

Hunting for jobs in today's crowded market could soon get a lot easier thanks to a new Microsoft Teams update.

The video conferencing service will be adding local job market trends to its Career Coach Microsoft Teams app, letting users find out what opportunities are on offer from employers near them.

The trends will come directly from LinkedIn, with the Microsoft-owned social media network providing the latest information for job hunters everywhere.

According to the official entry on the Microsoft 365 roadmap, the update is still in development, but should be rolling out to Teams users across the world before the end of February 2022.

The tool will be available to faculty and staff license holders alike, presumably meaning that the target for the update will be university and college-level students.

Career Coach already looks to assist students in identifying career goals aligned with their passions, interests, and strengths, as well as allowing them to make connections with alumni, peers, and faculty who can support them on their career path.

The news is the latest in a long series of updates and upgrades for Microsoft Teams as the company looks to ensure it is as useful for users as possible.

In a similar vein to today's news, Microsoft recently revealed that it is working on a new feature that will allow LinkedIn profiles to be displayed in Teams.

The information will be displayed in personal chats, meaning colleagues can find out more about their co-workers, for example when planning for a project or looking to help with onboarding.

Microsoft Teams continues to go from strength to strength, with the latest figures from the company showing that the service now boasts over 270 million monthly active users (MAUs).

GitHub wants to help developers spot security issues before they get too serious

In an effort to further secure open source software, GitHub has announced that the GitHub Advisory Database is now open to community contributions.

While the company has its own teams of security researchers that carefully review all changes and help keep security advisories up to date, community members often have additional insights and intelligence on CVEs but lack a place to share this knowledge.

This is why GitHub is publishing the full contents of its Advisory Database to a new public repository to make it easier for the community to leverage this data. At the same time, the company has built a new user interface for security researchers, academics and enthusiasts to make contributions.

All of the data in the GitHub Advisory Database is licensed under a Creative Commons license and has been since the database was first created to ensure that it remains free and usable by the community.

Contributing to a security advisory

In order to provide a community contribution to a security advisory, GitHub users first need to navigate to the advisory they wish to contribute to and submit their research through the “suggest improvements for this vulnerability” workflow. Here they can suggest changes or provide more context on packages, affected versions, impacted ecosystems and more.

The form will then walk users through opening a pull request that details their suggested changes. Once this done, security researchers from the GitHub Security Lab as well as the maintainer of the project who filed the CVE  will be able to review the request. Contributors will also get public credit on their GitHub profile once their contribution has been merged.

In an attempt to further interoperability, advisories in the GitHub Advisory Database repository use the Open Source Vulnerabilities (OSV) format. Software engineer for Google's Open Source Security Team, Oliver Chang provided further details on the OSV format in a blog post, saying:

“In order for vulnerability management in open source to scale, security advisories need to be broadly accessible and easily contributed to by all. OSV provides that capability.”

We'll likely more on this change to the GitHub Advisory Database once security researchers, academics and enthusiasts begin making their own contributions to the company's database.

This Google update will help you free up much-needed space on your Android phone

One of Google's most unsung apps is getting a useful upgrade that could help you clear out unwanted items from your Android phone.

As the name suggests, the Files by Google app governs all the files, apps and other items on your Android device, but can often provide a somewhat cluttered and even confusing experience.

However, an update to the app is adding a number of new search chip filters to help you quickly and easily find items that can be deleted to free up cloud storage space.

Search chips essentially look to display possible results as a user is typing in the search bar, offering autofill suggestions and other possibilities for what it thinks they could be looking for.

Now, users will see new filters when accessing the “Browse” menu in Files by Google. For example, selecting Apps within this menu will now offer the chance to filter out into certain groups – currently “large apps”, “unused apps” and “Games” – with each list also displaying extra information such as the size of the app and when it was last updated.

The app allows multiple filters to be active at the same time, so you could, for example, quickly spot which games you've installed but have never actually played.

The tool appears to be active now, so users should look to update their Files by Google app as soon as possible to benefit.

The company has also recently introduced chip search filters to a number of its Google Workspace software tools, including Gmail and Google Drive, giving users a faster way to find the exact file they are hunting for.

Going forward, instead of just using keywords such as “marketing plan” or “sales report,” which may return results that are too broad, users can use search chips to surface more relevant results.

The results can be file types, such as a Google Doc, PDF or image, but also related to a specific person, location (such as in a shared drive or folder) or when a file was last modified.

This Microsoft Teams update will help you cut through all the nonsense

Finding the right chats in Microsoft Teams will soon be a lot easier thanks to a new update that looks to help users focus better.

The video conferencing tool is adding new filters within the Chat app on Teams that will remove meeting chats and chats with bots, giving users a much more streamlined look at their conversations.

According to the official Microsoft 365 roadmap entry, the filter will work across group chats as well as one on one conversations, helping users stay focused on the messages that matter.

The feature is still in development, but the roadmap has noted a launch date of March 2022, meaning it should arrive in the next few weeks, adding it will be available to all Microsoft Teams users across web and Mac devices.

Microsoft has been working hard to make Teams an integral part of workers' everyday lives, adding a wealth of new features and updates to the platform to encourage hybrid working.

This includes the ability to pin messages in Microsoft Teams, much like in Slack or Telegram, allowing users to attach a specific message to the top of the channel so that it’s always visible to other participants, regardless of the number of messages that came afterwards.

The most recent Microsoft financial reports found that Teams now boasts over 270 million monthly active users (MAUs), up from the 250 million MAUs that the company reported just six months ago.

And recent data collected by software firm StarLeaf found almost all (97%) businesses say that video conferencing tools such as Zoom, Webex and Microsoft Teams are now essential to their operations. More than half (57%) of businesses surveyed said their company would not be able to operate for more than an hour without access to their communications tools, while 27% admitted they would struggle to function for even 30 minutes.
