Mac users beware – a macOS Sonoma 14.4 bug could delete saved versions of files in your iCloud Drive

The latest update for macOS Sonoma has yet another bug, this time causing havoc for users' saved files in iCloud Drive. 

Normally, when you save files within your iCloud Drive all the different versions of that file will be saved for future reference. So, if you’ve been working on a big project or assignment, you can look through all the versions of your file if you need to. 

This is the case even when you remove a file from the drive; the past versions of it will still be available to you if and when you need them. Unfortunately for some users, this new bug erases all the previous saved versions when a file is removed from the iCloud Drive – which could mean all your work is gone. 

Howard Oakley from The Eclectic Light Company stated in a post that users of macOS 14.4 who have enabled the ‘Optimize Mac Storage’ setting should be warned that there’s a risk of losing all their saved versions of a file if they choose to delete or move it from the iCloud Drive. Oakley notes that this issue “certainly doesn’t happen in Ventura” and that when tested in the earlier 14.3 updates did not observe the problem either.

Clutching my saved files  

If you’re worried about your own saved files, don’t! You can try and curb the potential threat by either simply not updating your operating system to macOS 14.4 if you haven’t already, or disabling the ‘Optimise Mac Storage’ setting. This way, your files won’t be booted off iCloud Drive and neither will any previous saved versions. 

This bug is merely the latest problem to plague the macOS Sonoma 14.4 update, following reports that the update was breaking some users' USB hubs and even taking down printers as well. So, you’ll want to be as careful as possible if you’ve already updated to the latest version of Sonoma. 

So far there haven’t been numerous reports of the bug going around, which means it is likely not a widespread issue just yet. We’ve yet to hear any word from Apple regarding these bugs, which can be interpreted as good news in itself –  if Apple hasn’t said anything yet, that’s a good sign that this is a minor issue that will probably be quickly and quietly resolved in a further update.

Google Drive could add a smart new way to keep your files organized

Finding your way around your Google Drive files could be about to get a lot easier: there's evidence that you'll soon be able to categorize your files into different groups, like banking and work, to keep them better organized.

This is according to hidden code spotted in the Google Drive app by TheSpAndroid (via Android Police). Apps often lay the coding groundwork for future features, before those features go live and are announced to users.

As per the app, the categories you'll be able to make use of are Auto, Banking, Expenses, Home, IDs, Insurance, Medical, Pets, School, Taxes, Travel, and Work. From this leak, it doesn't seem as though custom labels will be allowed, but those 12 categories cover the business of modern life pretty well.

As Android Police points out, these categories are similar to the labeling system that companies can use in Google Workspace. However, this should be available to individual users too, across Android, iOS, and the web.

Here's how it's going to work: From the Home tab in the Android app, you'll be able to tap the three dots next to a file, then choose from the categories list. A file can be in multiple categories, potentially making the feature more useful than the current folders system.

We don't get any indication here about when the switch might be flipped to give users access to file categories: the report on TheSpAndroid says “it won't come very soon”, so presumably there's still work to do before it's ready for the public.

Given Google's recent and very committed push into artificial intelligence features, it's possible that some kind of AI processing might be involved as well, in categorizing files for you (or at least suggesting categories based on a file name or its contents). Suggested categories do appear in the screens produced by the hidden code.

We now know that Google I/O 2024 is getting underway on May 14 this year, so in between all the Android 15 and Pixel 8a news we might get an announcement or two regarding new Google Drive features – and of course we'll bring you all the news from the event.

Microsoft’s Copilot AI can now read your files directly, but it’s not the privacy nightmare it sounds like

Microsoft has begun rolling out a new feature for its Copilot AI assistant in Windows that will allow the bot to directly read files on your PC, then provide a summary, locate specific data, or search the internet for additional information. 

Copilot has already been aggressively integrated into Microsoft 365 and Windows 11 as a whole, and this latest feature sounds – at least on paper – like a serious privacy issue. After all, who would want an AI peeking at all their files and uploading that information directly to Microsoft?

Well, fortunately, Copilot isn’t just going to be snooping around at random. As spotted by @Leopeva64 on X (formerly Twitter), you have to manually drag and drop the file into the Copilot chat box (or select the ‘Add a file’ option). Once the file is in place, you can proceed to make a request of the AI; the suggestion provided by Leopeva64 is simply ‘summarize’, which Copilot proceeds to do.

Another step towards Copilot being genuinely useful

I’ll admit it, I’m a Copilot critic. Perhaps it’s just because I’m a jaded career journalist with a lifetime of tech know-how and a neurodivergent tilt towards unhealthy perfectionism, but I’ve never seen the value of an AI assistant built into my operating system of choice; however, this is the sort of Copilot feature I actually might use.

The option to summarize alone seems quite useful: more than once, I’ve been handed a chunky PDF with embargoed details about a new tech product, and it would be rather nice not to have to sift through pages and pages of dense legalese and tech jargon just to find the scraps of information that are actually relevant to TechRadar’s readership. Summarizing documents is already something that ChatGPT and Adobe Acrobat AI can do, so it makes sense for Copilot – an AI tool that's specifically positioned as an on-system helper – to be able to do it.

While I personally prefer to be the master of my own Googling, I can see the web-search capabilities being very helpful to a lot of users, too. If you’ve got a file containing partial information, asking Copilot to ‘fill in the blanks’ could save you a lot of time. Copilot appears capable of reading a variety of different file types, from simple text documents to PDFs and spreadsheets. Given the flexible nature of modern AI chatbots, there are potentially many different things you could ask Copilot to do with your files – though apparently, it isn’t able to scan files for viruses (at least, not yet).

If you’re keen to get your hands on this feature yourself, you hopefully won’t have to wait long. While it doesn’t seem to be widely available just yet, Leopeva64 notes that it appears Copilot’s latest new skill “is being rolled out gradually”, so it’ll likely start showing up for more Windows 11 users as time goes on.

The Edge version of Copilot will apparently be getting this feature too, as Leopeva points out that it’s currently available in the Canary prototype build of the browser – if you want to check that out, you just have to sign up for the Edge Insider Program.

OneDrive is getting a glow-up, promising an optimized interface and power-packed features to help you navigate your files

Microsoft has given OneDrive a visual and functional makeover, rolling it out in an update for OneDrive personal users. 

The update was announced last month by Microsoft, promising a revamped OneDrive user experience with a revised sleek design and powerful new features. Now, the update is actually rolling out to OneDrive personal users.

The tech titan posted the announcement on its official blog and it’s begun the gradual rollout to users, stating that the changes will be available to all OneDrive personal users by the end of February. It elaborates that the changes are purposely designed to help users perform tasks more quickly in OneDrive, as well as find it easier to focus on their files.

One of the new features that users can look forward to is People View. This will show users their contacts with all of the files that they collaborate on together – so you don’t have to remember the names of files if they’re shared between you and a contact. Often, we can remember who we share files with or who shares files with us more easily than a specific file’s name. Additionally, users will be able to filter files by type, so if you want to see all the Word documents or Excel spreadsheets on your OneDrive, you can use specific Word or Excel filters while searching. 

 Additional OneDrive functionality 

Microsoft has also expanded the Add New button’s functionality to give users the options to both upload to OneDrive or to begin a new document. Being able to do either from a single button, Microsoft hopes this will make working on OneDrive more streamlined for users. 

It looks like these upgrades will apply to all users with a OneDrive account. You can access OneDrive on desktop with Microsoft 365 or online for free with a Microsoft account. In its announcement blog post, Microsoft also mentions that it’s open to feedback and you can provide your opinion in the OneDrive feedback portal. 

It’s a solid set of developments for OneDrive that Microsoft willlooks set to deliver for a better organized and faster serviceOneDrive, as long as these changes arrive on time. If Microsoft continues along this path for OneDrive, I could see OneDrive becoming more and more users’ choice of cloud storage. You may be able to see these changes already if you have OneDrive but everyone or should be able to access them before the end ofsome time in  February.

WhatsApp on Android could soon let you share files with nearby friends

WhatsApp may receive its own version of Apple’s AirDrop as a recent Android beta shows hints that a file-sharing feature is in the works.

A post on WABetaInfo offers insight into the potential update. Like AirDrop, the feature only works between two people. Both users will need to have the software open to the tool and be “within close proximity” to exchange files. What’s particularly interesting about this file sharing is the receiving person will need to physically shake their smartphone to create a share request. 

WABetaInfo explains this is to maintain a “controlled approach to file exchanges” between contacts. It's similar to how AirDrop lets people configure its settings so they only receive content from trusted sources. However, the website claims it will be possible to share media with non-contacts on WhatsApp. Phone numbers will remain hidden in this situation to preserve anonymity.

And just like sending messaging on WhatsApp, file sharing is end-to-end encrypted according to the website, ensuring personal information and content being sent is protected from outside interference. 

Pending information

That’s pretty much all that is known about WhatsApp’s file-sharing feature. A lot of the finer details have yet to be revealed. 

It’s unknown exactly how sending media to non-contacts will work. Will all receiving users have to shake their device too or will Meta change its mind and throw out that step replacing it with a simple menu setting? Going back to AirDrop, Apple’s version lets you change the receiving setting to Everyone allowing non-contacts to accept content from you.

Additionally, we don’t know if there are any file-size limitations for shared files. The maximum size for sending media to group chats is 2GB at the moment. The upcoming feature will probably have a similar size although it would be nice to see Meta expand the limit. Considering that we live in a world where 4K videos exist, an expansion would be great to have.

No word on when this update will become available to beta testers. WABetaInfo states the tool is still under development, so a preview build doesn’t exist yet. If you’re interested in trying out the file-sharing feature once it’s ready, you can become a WhatsApp beta tester by joining the Google Play Beta Program. You may be one of the lucky few to gain access down the line.

Analysis: cross-platform sharing

One thing we would like to see is compatibility across different operating systems. Imagine being able to send files from an Android phone to an iOS device and vice versa. It would certainly give WhatsApp an edge over Quick Share.

If you’re not familiar, Google and Samsung recently entered a partnership that resulted in many new products and combining Nearby Share into Quick Share. Now Android users can use the function for quick file sharing, hence the name. Assuming Meta rolls out the update in its current state, it could cause a lot of confusion as people would arguably be receiving the same thing twice. Giving WhatsApp's tool cross-platform support would make it stand out considerably.

Google Drive has a fix for its missing files issue – here’s what to do

Some Google Drive users have recently been reporting that the service has been deleting months’ worth of files from their computers. If you’ve found yourself in that predicament, help could be at hand, as Google has just shared a few tips that might help get your files back.

It’s possible that even after trying Google’s methods, your files can’t be returned, so it isn't a guaranteed remedy. But Google says its fixes are for “desktop users on version 84 who experienced issues accessing local files that had yet to be synced to Drive,” so the solutions seem to be fairly limited in scope.

Judging by posts online, many users have lost files from months ago, which is potentially at odds with Google’s note that the fix is for files that hadn’t been synced to Drive. I myself have lost files due to this bug and regularly sync my Google Drive app. Still, it’s worth trying Google’s ideas if you are affected.

The first method requires you to download the latest version of Google Drive. Once that’s been installed, you’ll need to run Google’s recovery tool. To do so, open Drive for desktop and select the app’s icon in your system tray (Windows) or menu bar (macOS). Hold the Shift key and select the Settings (cog) button, then choose “Recover from backups.”

That’ll kick off the recovery process. You’ll get a message reading “Recovery has started” if there are files to recover, or “No backups found” if not. If there is a backup, you’ll see “Recovery is complete” and a new folder with your unsynced files will appear on your desktop.

You might also see a “Not enough disk space” message once the tool finishes. In this case, you can free up disk space and try again, or attempt the next method to recover the files to a different drive.

Choose a different drive

Running the recovery process on a different drive with more free space requires using the command line, which is a little more advanced. To do this, you’ll again need to download the latest version of Drive for desktop. After that, close the app and open a command prompt (Windows) or Terminal (macOS).

On Windows, run the following command, including the quotation marks:  “C:\Program Files\Google\Drive File Stream\launch.bat” –recover_from_account_backups

On macOS, you’ll need to enter this, including the speech marks: “/Applications/Google Drive.app/Contents/MacOS/Google Drive” –recover_from_account_backups

You can use '–recover_output_path' in command line to specify where recovered files should be saved. The tool will run in the background in Windows and in the foreground in macOS. When complete, a folder called Google Drive Recovery will appear in your selected output location (the desktop by default) containing your recovered files.

Recover from a backup

There’s one other method to try if neither of the last two work for you, and this could help if you previously disconnected your account or removed the Google Drive cache from your machine. 

However, the technique requires you to have either a Windows backup or a Time Machine backup in macOS. For the full instructions on this last solution, check out the 'Advanced troubleshooting options for data recovery' section in the Google Drive help page.

If after all  of that you still can’t get your files back, you’ll need to let Google know by submitting feedback through the Google Drive app. Use the hashtag #DFD84 and tick the checkbox to include diagnostic logs.

A real pain

This whole sorry saga has been a real pain for some Google Drive users – after all, the whole point of using the app is to keep your files safely synced, not to have them deleted.

I know this issue all too well, as I’ve lost files because of it. One minute they’re in their folder on my computer, the next they’ve been deleted. Sometimes I’ve been able to find them in my computer’s trash, and other times they’re in the trash online in Google Drive, but some files have simply disappeared without a trace.

With any luck, Google’s proposed fixes are able to put a stop to this problem, or at least help users get back files they thought had been deleted. But while this Drive update might help to restore your files after the fact, we don’t know if it will fix your documents being deleted in the first place. We’ll be looking out for a more permanent fix in the coming weeks.

Google’s new AI tool can help organize your messy Google Docs files

Google is launching yet another large language model (LLM) with the purpose of helping people organize their messy Google Docs accounts.

Say you’re a college student who typed in a series of notes into a Google Docs file for class, but you didn’t put a lot of thought into the page’s structure. It’s all one big mess of randomly organized ideas. Now, you can ask the new NotebookLM tool to generate a short summary to read so you have a better idea of what you wrote. The original file will still be there for reference. It’s not going anywhere. The generative AI will even throw in some “key topics and questions” based on the summarized information to help users gain “a better understanding of the material.” What’s more, you are not limited to a single document. Notebook LM is able to pull from multiple sources for its content.

Directing the AI

Like Bard, Google’s other generative AI, you can ask NotebookLM questions to better direct its response if you want to know something in particular. In an example given, a student can upload an “article about neuroscience” and then tell the AI to construct a list of “key terms related to dopamine” from that particular piece.

NotebookLM isn’t only for summarizing your school notes. It can, according to Google, generate ideas, too. Google states a content creator can give the LLM their idea for a new video and then instruct it to write up a rough draft for a script or help a businessperson come up with questions to ask at an investors’ meeting.

As helpful as it may sound, there is one major problem. Believe it or not, NotebookLM can still hallucinate. Even though the main source is your own personal Google Docs account, there's still the possibility it could create false information. The company recommends double-checking the generated responses “against your original source material” just to be safe. If the AI is grabbing from multiple sources, Google states each response will have citations so you’ll know exactly where everything is coming from. 

Future release

NotebookLM is currently seeing a limited release as it is still experimental technology. If you want to try it out yourself, head on over to the Google Labs website and sign up for the waitlist. Once a spot opens up, Google will shoot over an email letting you know. The company is asking the lucky few who gain access to please provide feedback so it can improve the AI.

NotebookLM actually made its world debut during Google I/O 2023 when it was originally known as Project Tailwind. The event saw the tech giant tease a lot of upcoming devices and software; most of which have been released with a few stragglers remaining. Universal Translator, for example, is still missing in action. If you don’t recall, it’s an “AI video dubbing service” that has the ability to translate speech in real-time. There also isn’t a lot of information out there regarding the Sidekick panel, a Google Docs feature that can create text prompts while writing.

We asked Google if it could provide any insight on the missing I/O 2023 tech plus when it will release the final version of NotebookLM. This story will be updated at a later time.

Having trouble copying and saving files across Windows? This could be why

Microsoft has confirmed some 32-bit apps are having issues when copying and saving files across different versions of Windows.

The issue is affecting a number of popular programs and Microsoft Office apps, including the likes of Word and Excel, with users finding they cannot save their work and being confronted with “Document not saved” error messages.

Microsoft says the issue is primarily affecting enterprise and business users, with consumers and those using Windows devices in their home unlikely to be affected. 

Windows copy issues

“You might have intermittent issues saving, or copying, or attaching files using 32-bit apps which are large address aware and using the CopyFile API,” the company said in a support page outlining the problems.

“Windows devices are more likely to be affected by this issue when using some commercial/enterprise security software which uses extended file attributes.”

Microsoft notes that all its most popular Windows builds are affected, including Windows 11, version 22H2; Windows 10, version 22H2; Windows 11, version 21H2; and Windows 10, version 21H2.

There have been no reports of File Explorer being affected by the copying issue, but Microsoft notes the CopyFile API used by a number of specific applications may be impacted. The company added that 64-bit apps are not affected by this issue, which also avoids apps that are 32-bit and not large address aware.

As it stands, Microsoft has only been able to release a fix for Windows 10 and Windows 11 21H2, which is available via the Known Issue Rollback system, adding it is working on a patch for other versions, and will provide an update soon. 

The company says users might be able to get around the issue simply by attempting to save or copy again. 

“Since the issue is intermittent, it is likely to succeed on a subsequent try,” Microsoft's advice says.

Are Apple Services down? Users unable to access iCloud, send files through AirDrop

We're getting reports that Apple's online services such as the App Store, iCloud and others are seeing outages across the globe.

Reports of issues with Apple began to surface around 16.55 GMT, with hundreds of users signaled problems on the outage tracker site DownDetector.

The company has yet to confirm that there are problems for now, but it's best to keep track of Apple Status for now.
